Why Communication is Essential in the Workplace

Unquestionably, too many times, business professionals work on assumptions and at times, take shortcuts, which results in problems long term.  After every meeting or discussion, one should attempt to ask a couple of questions, clarifying what was highlighted while concisely summarizing the information as needed.  Additionally, communication needs to be concise, clear, and purposeful.  One should structure his or her message in a way that avoids the use of unnecessary words while providing examples as needed.  Regularly, business leaders are presented with problems and have to make decisions accordingly, and how material or information is presented can make a significant difference.  Basically, one should not hesitate to send out an additional email in order to make sure he or she is clear on what needs to be done.  Regardless, as people grow in their careers, certain complex situations may arise, and there may be a level of ambiguity in specific circumstances that leaders may need to be accustomed to depending on the industry and other variables.  Therefore, it is critical that one be willing to get out of their comfort zone and attempt to get tasks completed in a thorough manner.

In many instances, each problem or case is unique, and past precedents that have been established are not always relevant in some instances.  For example, in business administration, one is usually responsible for various tasks involving human resources, payroll adjustments, budgeting, and other clerical duties.  More specifically, each element presents unique circumstances, and the manager must be clear on what action needs to be taken.  Consequently, one must be able to prioritize and follow directions while interpreting rules accurately to avoid major problems.

Ultimately, business professionals will come across many situations and circumstances and must react in a timely manner.  For instance, If an employee wants to go on an extended vacation, before exploring a leave of absence (LOA), one must see if the employee is eligible to take an LOA based on company policies while checking if the employee is part-time or full-time and whether the LOA is going to be a paid LOA.  Therefore, specific questions need to be asked along with the verification of policies and procedures.  Ultimately, many businesses fear audits from regulatory or government agencies; everything must be documented.  However, do not overreact and panic because, for the most part, successful organizations have processes in place that require checks and balances.  Overall, some organizations require multiple approvals for accounting, finance, and hiring decisions.  All in all, it is recommended to provide clear directions to colleagues and staff members while not shying away from taking detailed notes and asking questions based on the situation.
